Conditions of Membership ©uktenanthistory.co.uk is an online facility that allows members to share information about a tenant's previous rental history. This information is compiled in line with the Data Protection Act 1998. The system alows members to submit and retrieve details specific to individual tenants and the information is used soley for the purposes of tenancy related matters. Members are restricted from alowing use of their access to any other persons, such incidents will constitute a breach of conditions of membership and as such Membership will be removed. Incidents will be investigated and breaches of the Data Protection Act 1998 will be reported along with the Member to the Information Commissioner's Office. 1. Terms and Conditions 1.1 General 1.2 Members must be a with a Uk address and Uk based E-mail address. 1.3 On entering your property the agreement must be signed by the Tenant. All Tenants must be 18 years + (See PDF Tenancy Agreement) 1.4 Tenants details may only be placed onto ©uktenenthistory web site With the full knowledge of the Tenant. 1.5 The information supplied by members must be true and accurate with no self opinion. Any member that knowingly lists false or misleading information about an Individual on the Database will have their membership revoked and will be reported to the Information Commissioner's Office. 1.6 ©uktenenthistory reserves the right to remove any information that it discovers to be false, malicious, untrue, inaccurate, offensive, unwarranted, that may cause unnecessary distress to the Individual, or is in breach of any legislation under the Data Protection Act 1998. 1.7 Any information placed onto ©uktenenthistory must be able to be evidenced by the submitting Member. 1.8 All records relating to the Tenant and evidencing the submission must be held by the Member whilst the record is held on the Database. 1.9 Any information recorded on the Database will be updated by the Member in the event of any changes to such information, changes are to be made as soon as practicable. 1.10 Members are responsible for the records Submitted and their contents. 1.11 ©uktenenthistory will hold all Members details and each record submitted will bear the Member I.D. 1.12 Members are also classified as a data controller's (defined by the Information Commissioner's Office see Data Protection Act 1998), the Member is therefore responsible for data submitted to the online database. 1.13 The Member will not provide any printed material or e-mail any record to any third party, person or company, organisation, corporation or partnership from the website/Database. 1.14 ©uktenenthistory is required to carry out random checks on listings made on the Database and inquiries made on the Database. Members, at the Request of ©uktenenthistory will provide all information in relation to submitted records in order that that information can be verified. 1.15 Any breach of membership will immediately suspend any membership where a Member is found to be in breach of any of the aforementioned Policies. 1.16 To become a Member when registering you must confirm to agree to these terms and Conditions by Ticking the Box on the Secure Register Form. 1.17 Tenants details may now be placed onto this site whilst the tenant is still renting/residing in your property. The changes in how the records are displayed allow this as no personal information, i.e. Date Of Birth is now on view but only the age calculated from the date of birth submitted by the member. The tenant can there fore not be wholly linked directly and it is up to the requesting member to complete as many validation processes before renting out to any prospective tenant. Principles There are eight principles put in place by the Data Protection Act 1998 to make sure that information is handled properly.
